The day a client note stops being enough

Most aesthetic clinics start on booking software because that is what the business needed first. The software does not fail loudly when treatments get more clinical. It just quietly stops being the right object.

A note is a convenience. A chart is evidence.

Nobody thinks about this until something happens. A patient bruises badly and asks what was used. A complaint arrives fourteen months after a treatment. An insurer wants documentation. At that point the question is not whether you wrote something down, but whether what you wrote can be relied on.

Zdrovia keeps revisions. If a note is amended the earlier version stays, timestamped and attributed. Consent forms are versioned separately, so you can show the exact wording a patient signed rather than the wording currently on your form.

Photos live on the chart as dated pairs, encrypted at rest, with the consent for clinical use recorded separately from consent for marketing use. Those are different permissions and treating them as one is a common and avoidable mistake.

Product you are accountable for

Retail inventory answers how many are left. Clinical inventory has to answer which vial went into which patient, and when the rest of that box expires.

Stock is received by lot with an expiry date, dispensed oldest first so nothing dies on the shelf, and can be quarantined if you are unsure about it. Each dispense links to the visit and the invoice line, so the trail runs from the delivery box to the patient.

The recall case is the one people quote, and it is real. The case that shows up monthly is expiry. For a clinic holding a few thousand dollars of toxin and filler, catching product before it has to be written off tends to cover the cost of the software on its own.

One price, no add-on list

Add-on pricing is not dishonest, but it does make budgeting awkward. You buy the plan, then discover the thing you assumed was included is a switch with a price behind it, and the invoice drifts upward over a couple of years.

Zdrovia has three numbers, each an all-in card processing rate that drops as you grow. Free is 4% + 30¢ a transaction. Pro is $79 flat plus 3.5%, for up to three practitioners. Team is $149 flat plus 3%, for up to ten across every location you run. Charting, inventory, forms, photos, the AI scribe and the patient portal are in all three.

Why does this page not list Vagaro's prices?

Because the number on the pricing page is rarely the number on the invoice. Vagaro's total depends on how many bookable calendars you run and which add-ons you have switched on. Pull your last statement, take the total, and compare it against the columns above. That comparison is honest. Ours against their headline rate would not be.

Is Vagaro bad software?

No. It does a lot for the money and its marketplace really does send people to salons and studios. It was built for hair, nails, fitness and beauty, and for those businesses it makes sense. It was not built to hold a medical record, and that is the whole argument on this page.

What changes when I start injecting?

The chart stops being a convenience and becomes evidence. You need the lot number of the vial you used, the version of the consent the patient signed, a photo pair with dates attached, and notes structured well enough that you can answer a question about an appointment from last year. Client notes in a booking system will not do that job.

Do I lose the marketplace bookings?

Yes, and it is worth checking how many of those there really are before you decide. Look at where last quarter's new clients came from. For clinical aesthetics the honest answer is usually referrals and Instagram rather than marketplace discovery, but your numbers are the ones that count.

How does Zdrovia's pricing work?
