Staff
A staff record is not a login. It has an identity of its own, so a practitioner with no Zdrovia account can still be booked, charted about and paid — and so a rehire arriving with a brand-new account reconnects to everything they did before.
Navigate to Staff in the sidebar.
Adding a practitioner
- Click New staff member
- Fill in Who they are — name, and optionally email and phone
- Fill in How they appear — calendar colour and profile photo
- Save
That is enough to book them, assign visits to them, and attribute commission to them. No invitation, no login, no seat.
Linking an account
When a practitioner does get a Zdrovia login, click Link an account on their staff record and attach their organization membership. Their existing visits, notes, commissions and ledger entries stay attached — and if the record was archived, linking restores it.
Terminal PINs
A practitioner without their own login can still work under their own name on a shared clinic terminal. Set a 6-digit terminal PIN on their staff record.
- The PIN identifies who is working, so visits and charts are attributed correctly on a shared machine
- Resetting a PIN stops the old one working immediately
- Changing a PIN requires the current one
The screen lock at /dashboard/lock is what a shared terminal sits on between patients; a PIN gets the next practitioner in.
Archiving
Archive a practitioner who has left rather than deleting them. Their history stays intact and attributed, and linking an account later restores them.
Calendar colour
Each staff member’s colour is what makes the Schedule readable at a glance. Pick colours distinct from each other and from your room colours.
Commissions
Navigate to Commissions in the sidebar. The page has two tabs: Commissions (what has been earned) and Rules (what decides it).
The queue
Tiles filter the same list they count:
| Tile | Meaning |
|---|---|
| All | Every commission entry |
| Pending | Earned, not yet approved |
| Approved | Approved, not yet paid |
| Paid out | Paid |
| Voided | Cancelled — e.g. against a refunded sale |
Rules
A rule decides how much a sale earns.
| Field | Description |
|---|---|
| Percent | A share of the sale — enter 10 for 10% |
| Fixed amount | A flat amount — enter 500 for $5 |
| Service | Which service the rule applies to — leave blank for all |
| Role | Which role it applies to, e.g. therapist |
Rules are evaluated when a sale is recorded, and the entry it produces enters the queue as Pending.
Rule priority
Rules are layered, most specific first:
| Level | Beats |
|---|---|
| Item override | Everything — the highest priority |
| Category rule | The global default |
| Global default | Nothing — it catches everything else |
Write the global default first so nothing falls through, then override where a category or a specific item needs different terms.
Tips
Navigate to Tips in the sidebar — tips taken at the till, and what has become of them.
The tiles across the top are money rather than counts, because the question is always “how much is sitting undistributed”, not “how many tips were there”. Each tile totals the same set it selects:
| Tile | What it totals |
|---|---|
| Collected | Everything taken in the period |
| Unallocated | Taken, but not yet assigned to anyone |
| Awaiting payout | Allocated, not yet paid |
| Paid out | Paid |
The period stays a select rather than a tile: a week is not a state a tip is in, and every tile is about the period already chosen.
Allocating a tip
Open a tip and assign it — whole to one practitioner, or split between several. An unsplit tip counts in full towards Unallocated until it is assigned.
Who gets credited for what
| Thing | Attributed to |
|---|---|
| A visit | The staff member assigned when it was booked |
| A chart entry | The practitioner who wrote it (or the PIN in use on a shared terminal) |
| A commission | The staff member on the sale, per the matching rule |
| A tip | Whoever it is allocated to |
| Provider revenue on Analytics | The staff member on the booking |
Tips for setting this up
- Create staff records for everyone who sees patients, including contractors and locums. Logins are a separate question and can come later.
- Give shared front-desk and treatment-room machines a terminal PIN per practitioner rather than one shared login — it is the only way per-person attribution survives a shared device.
- Set a global default so nothing falls through uncredited, then add category rules and item overrides only where the terms genuinely differ.
- Allocate tips weekly. Unallocated is the tile that quietly grows.
