Payments & Payouts

Connect a payment account and take money at the till, at checkout, from an invoice link, or as a booking deposit — then track payouts, documents, tips and sales tax.

Zdrovia takes payments through a connected payment account. Once it is set up, every place money changes hands — the till, online checkout, an invoice link, a booking deposit — settles into the same account and reports in the same place.

Navigate to Payments at the bottom of the sidebar (/dashboard/connect).


Setting up

New clinics complete onboarding at /dashboard/connect-onboard. You will need your business details, banking information and identity documents. Until onboarding is finished, Zdrovia can create invoices but cannot collect on them.

Once connected, the Payments page has five tabs:

Deposits

Any service can require a deposit before a booking is confirmed.

Set Deposit amount under the service’s Booking rules. Zdrovia shows you what that works out to as a share of the price and what is left to collect on the day — a $50 deposit on a $200 service reads as “25% of $200, leaving $150 on the day”.

When a service requires a deposit, the patient pays it as part of self-serve booking. No payment, no confirmed slot.


Cancellation fees

Also under Booking rules: a fee amount and a window. A patient cancelling inside the window is charged the fee. The window and the fee are enforced in the portal, so a patient rescheduling themselves sees the same rule your front desk would apply.


Sales tax

Navigate to Tax Settings (/dashboard/tax-settings) — how tax is charged on invoices and online orders.

Configure your registration and the rates that apply, and set the default tax treatment per service — services differ, and a treatment that is a medical service in one province is taxable in another. The tax treatment on the service is what invoices and online orders use.

:::info Get this right before you invoice Tax treatment is recorded on each invoice at the time it is raised. Correcting the setting later does not re-rate invoices you have already sent. :::


Tips at the till

Tips taken at checkout are tracked separately from revenue, because they are not the clinic’s money. See Staff & Commissions for allocating and paying them out.


Payouts

The Payouts tab shows what has been transferred to your bank account and when. Payout timing is set by your payment provider and your account’s country and history.

The gap between Collected on Analytics and money in your bank is normally just payout timing.


Refunds

Refunds are issued against the original payment, from the Payments tab or from the invoice. A refunded invoice returns to unpaid; a refunded order restores the stock it drew down.


Tips

  • Finish payment onboarding before you go live with booking. Deposits and online checkout are both gated on it.
  • Put a deposit on the services that actually get no-showed rather than on all of them — a deposit on a free consultation costs you bookings.
  • Set the tax treatment on every service as you create it. It is far cheaper than correcting a quarter of invoices.
  • Reconcile against Payouts, not against Collected. They differ by settlement time, not by error.
